In most (but not all) cases, travelers book their own flights directly with airlines.
This allows participants to travel from different cities and choose schedules that work best for them. We provide guidance on recommended arrival times and airports to ensure that everyone arrives in time for group activities.

Because group travel arrangements require advance commitments with hotels, event organizers, and vendors, the following general policy applies:
Deposits
Deposits are typically non-refundable, as they secure reservations with travel vendors.
Participant cancellations
Cancellations made more than 90 days before departure may qualify for partial refunds depending on vendor policies.
Cancellations made within 90 days of departure are typically non-refundable.
When possible, we may offer credit toward a future trip.

If Booked & Busy Travel must cancel a trip, travelers will receive either:
A full refund, or
Credit toward a future trip
Please note that we cannot reimburse independent travel arrangements such as flights purchased separately by participants.
