  • In most (but not all) cases, travelers book their own flights directly with airlines.

    This allows participants to travel from different cities and choose schedules that work best for them. We provide guidance on recommended arrival times and airports to ensure that everyone arrives in time for group activities.

  • Booked & Busy Travel functions primarily as a trip organizer and travel coordinator, rather than a direct provider of travel services.

    We work with trusted third-party partners, including:

    • Hotels and accommodation providers

    • Event organizers and ticketing platforms

    • Local tour operators and guides

    • Transportation providers

    • Restaurants and cultural venues

    These vendors provide the services that make up the overall travel experience.

  • Trip packages typically include a combination of:

    Each trip page will clearly outline what is included and what travelers are responsible for separately (such as flights).

  • The cost of a curated travel experience depends on the destination, accommodations, and activities included.

    Most trips range between approximately:

    $300 – $3,000 per participant

    Many trips offer deposit and installment payment options to make participation more accessible.

  • Trips are often structured with a deposit and payment schedule.

    Typical payment structure:

    1. Deposit to reserve your spot on the trip

    2. Installment payments leading up to the travel date

    3. Final balance payment prior to departure

    Payment deadlines will be communicated during the booking process.

  • Curated group trips are typically planned several months in advance.

    The time between initial payment and travel fulfillment generally ranges from:

    3 to 12 months, depending on the specific trip.

    This allows us to coordinate accommodations, event access, and local experiences for the group.

  • Because group travel arrangements require advance commitments with hotels, event organizers, and vendors, the following general policy applies:

    Deposits

    Deposits are typically non-refundable, as they secure reservations with travel vendors.

    Participant cancellations

    • Cancellations made more than 90 days before departure may qualify for partial refunds depending on vendor policies.

    • Cancellations made within 90 days of departure are typically non-refundable.

    When possible, we may offer credit toward a future trip.

  • If Booked & Busy Travel must cancel a trip, travelers will receive either:

    • A full refund, or

    • Credit toward a future trip

    Please note that we cannot reimburse independent travel arrangements such as flights purchased separately by participants.

  • Yes. We strongly recommend that travelers purchase comprehensive travel insurance.

    Travel insurance can provide protection in cases such as:

    • Trip cancellations

    • Medical emergencies

    • Travel delays

    • Lost luggage

    Travel insurance is the best way to protect your investment in travel.

  • Occasionally, adjustments to itineraries may be necessary due to factors such as:

    • Vendor availability

    • Weather conditions

    • Event schedule changes

    • Local operational considerations
